A rule can put every fax from your regional imaging center into a folder. It cannot tell you whether the document inside is a transthoracic echo report, a stress echo, or a nuclear study, and it cannot tell you which of your patients it belongs to.

So a person still opens each one. Reads enough to identify it. Searches the EHR for the patient. Picks the right document category. Indexes it. Routes it to whoever acts on it.

The two layers even divide the work sensibly. Routing rules stay useful for a few specific jobs:

  • Hard-partitioning by line of business. Separating a billing fax line from a clinical one is cleaner as a rule than as a classification decision.

What should a cardiology office ask that a generic buyer wouldn't?

When is cloud fax alone genuinely enough?

Sometimes it is, and the honest answer matters more than the sales answer.

Rules-based routing on a good cloud fax service is adequate when all three of these hold:

  • Volume is low — under roughly 100 inbound faxes a day, and the queue reliably gets to zero.
  • The sender set is stable and short — your top 20 senders account for most of the volume, and new ones appear rarely.
  • The document mix is narrow — a folder maps cleanly to a work type without someone having to open documents to sort them further.
